The operational challenge

Software is only useful if the working environment supports the daily process. Inconsistent kit identifiers, incomplete contents or untested printing and interface paths can weaken the value of otherwise connected records.

The SurgiDat approach

A SurgiDat rollout should begin with workflow discovery, facility configuration and a bounded pilot. The application supports configurable case fields, combined user roles, English and Spanish operation, local label printing and HL7 intake for patient updates and OR bookings. A small operation can start with a scanner and laptop for packing, loading and release, then expand its scope. SurgiDat has no annual subscription commitment: start and leave when you want.

The value to evaluate

A focused pilot makes assumptions visible and lets the facility verify the important handoffs before broader rollout. Clear roles and prepared identifiers support consistent scanning and a useful audit record.

A practical workflow

  1. Map the process

Identify departments, handoffs, exception owners and the first operational question the pilot should answer.

  2. Prepare the foundation

Validate kits and contents, child-kit identifiers, storage locations, sterilizers, cycles, roles and label requirements.

  3. Test the environment

Confirm scanner behavior, local print drivers and required HL7 patient and booking messages with the responsible technical team.

  4. Exercise and evaluate

Run normal and exception scenarios, train by role and compare the pilot with agreed success measures before expansion.

An illustrative scenario

A pilot covers one tray group, one storage area and selected OR cases. Staff walk an assembly from packing to load, release, stock, case allocation and decontam, then retrieve the record from multiple search starting points.

Measures for a facility pilot

A focused starting point

Include missing items, open maintenance, failed loads, biological quarantine, label reprints, stock moves and count discrepancies in acceptance exercises. Agree interface ownership and operational support before expansion.

Scope and interpretation

HL7 scope, printer hardware, local drivers, security requirements and migration effort need confirmation for each facility. Do not infer certified integration with a named hospital system solely from general HL7 support.
