AUDIT & TRACEABILITY

Every packed kit. A distinct lifecycle record.

Why a unique assembly UID changes the starting point for audit, load tracing and case investigation.

The operational challenge

A reusable kit number identifies the physical kit. It does not, by itself, distinguish one packing and processing journey from the next. When a question concerns a particular load, case or return, the investigation needs a specific lifecycle identity.

The SurgiDat approach

SurgiDat assigns a unique lifecycle assembly UID to every newly packed assembly. The reusable child kit keeps its kit identity; the new assembly UID identifies this packing and its downstream journey. That distinction lets teams follow an event without confusing it with an earlier or later use of the same kit.

The value to evaluate

A precise assembly identity gives audit review a repeatable starting point. It supports focused searches and separates successive uses of the same kit, helping the team investigate the relevant processing record.

A practical workflow

  1. Identify the packing

Create the assembly at packing, with the instrument count and any missing-item information recorded for that event.

  2. Follow processing

Associate the assembly with the sterilizer load and cycle, then the applicable release or biological quarantine record.

  3. Trace the handoffs

Record distribution to stock and allocation of the identified assembly to an OR case or cart.

  4. Close and restart

Receive the assembly in decontam to end its sterile-processing life. Repacking the reusable kit creates a new assembly UID.

An illustrative scenario

An inquiry begins with a sterilizer load. Search the load to find associated assemblies, then follow their recorded lifecycle, stock location and case allocation. If the same physical kit has since been repacked, its newer assembly UID identifies a separate journey.

Measures for a facility pilot

A focused starting point

Select representative kits and trace multiple consecutive packing lifecycles. Test searches from assembly UID, kit, load, patient allocation and stock location. Confirm that changing a kit serial or alternate identifier does not rewrite previously packed assemblies.

Scope and interpretation

Traceability reflects recorded events. Case allocation links an assembly to a patient record but does not, by itself, prove clinical use. This paper does not claim immutable records or automated recall execution.
